What to include in a heat-shrink tubing enquiry and what to verify in a supplier-backed quotation before sample approval or an order.

What information should I send to a heat-shrink tubing supplier?
Send the application, largest pass-over diameter, required installed fit, construction or adhesive need, quantity, colour, length format, temperature, destination and mandatory documents. If a part number or drawing exists, include it. Ask the quotation to identify the exact manufacturer and model, document scope and commercial terms.
Start with the application and acceptance criteria
You can enquire before every field is known. Label unknowns so that a sourcing suggestion is not mistaken for a confirmed specification.
- Application, substrate material and relevant operating environment
- Largest pass-over diameter and smallest installed diameter
- Single-wall or adhesive-lined requirement, if known
- Temperature, electrical, flame and other mandatory requirements
- Colour, cut length or reel length, quantity and packaging
- Ship-to country, destination city and target date
- Drawing, current part number or customer specification, where available
Tie evidence to the exact quoted product
Ask which manufacturer and part number each document covers, including relevant size, colour, material or formulation limits. An unrelated report, catalogue badge or supplier price list does not establish the status of the item being quoted.
Name mandatory UL, flame, RoHS, REACH or customer-specific requirements rather than asking only for a generic certificate. SLEEVANTA checks available evidence against the exact proposed model; document availability or compliance is not assumed across a family.
Compare the commercial basis in the same units
Separate metres, pieces, reels and cut lengths. Confirm quantity per reel or pack, cutting and packaging charges, sample terms, freight basis, Incoterm, currency, lead time and quote validity. Current stock, final MOQ and export delivery dates require supplier confirmation.
Before a commercial commitment, the proposal should also identify the legal seller/exporter, payment terms and the agreed handling of quality issues. A website reference is not a binding offer.
Use the sample to close application questions
Record the model and size sampled, installation method and your acceptance criteria. Confirm fit, coverage and any required test results before treating a sample as approval for a different model, size, colour or production batch.
